Gala dinner and awards night entertainment in Dubai: what to book, how the night runs and what it costs
A gala dinner is the most formal night in the corporate calendar: a ballroom, a seated dinner, speeches, an awards ceremony and, if it is done well, a party at the end. The entertainment has to do three different jobs in one evening: set the tone at the reception, stay out of the way during dinner and the awards, and then fill the dance floor. How a gala night runs, and what plays when
- Reception, 45 to 60 minutes. Music guests can talk over: a jazz duo, a Spanish guitarist or a saxophonist near the entrance, and a close-up magician working the groups if you want an ice-breaker.
- Seating and welcome. A short opening moment sets the tone: an LED robot show, a dance opening or a live vocal walk-in, followed by the host's welcome.
- Dinner, 60 to 90 minutes. A jazz trio or quartet at conversation volume: standards, bossa nova, soul classics. The band follows the service so that nothing peaks while the main course is going out.
- Speeches and awards. The band stops. The DJ or the stage manager provides walk-up stings for each winner, timed with your presenter, and a musical bed for the video segments.
- The party. A pop band with DJ handover, or a DJ with live sax, from the first song after the last award until the venue's cut-off. This is the part people remember.

- Hotel ballrooms: we coordinate with the in-house AV team, respect the venue's sound limits, share the run-of-show with the banquet manager and provide our own operator, whether the sound is ours or the hotel's.
- Awards with a production company: we plug into your producer's timeline, take stings and beds from your show caller and rehearse the walk-ups with the presenter in the afternoon.
- Rooftops and terraces: wind, neighbours and outdoor cut-off times decide the sound design; we visit before we quote.
- Desert camps and private venues: silent generator, dust-proof equipment and a stage manager who has done it before.

How much does gala dinner entertainment cost in Dubai?
Every event is quoted individually, based on the line-up, the hours and the production. A complete gala programme with reception music, a dinner trio, a show and a party band is quoted as a fixed, itemised proposal within two hours.
How far in advance should we book a gala dinner?
Four to six weeks for a full programme, so that the run-of-show can be agreed with the venue and your presenter. November, December and the awards season from February to April fill early. Last-minute bookings are always possible, subject to availability: the most sought-after artists go first, which is the risk of leaving it late, but there is always the option of finding the best available performer for your date.
Can the band play quietly enough for a seated dinner?
Yes. A jazz trio at conversation volume is what we book most for dinners of 100 to 400 guests. The operator sets the level with you during the sound check and the band follows the service, so nothing peaks while the main course is going out.
Do you provide the music for the awards ceremony itself?
Yes. Walk-up stings for each winner, a musical bed for video segments and the transitions between speakers, run by our DJ or stage manager and timed with your presenter or your production company's show caller.
Can you work with the hotel's own sound system?
Yes. Either with our equipment and operator, or in coordination with the in-house AV team when the venue requires it. Either way the same operator runs the night and the run-of-show is shared with the banquet manager.
Do you issue a contract and an invoice?
Yes. Every corporate booking comes with a formal agreement, a detailed invoice and a fixed, itemised price, which is what most procurement and finance teams require before confirming.
